How we look after your details

Who we are

The New Theatre Alumni Network is run by volunteers on behalf of the Nottingham New Theatre. We look after the network's records ourselves. Your details are held by the alumni network only, and are never sold or shared with anyone else.

What we hold

Only what you give us: your name (including any name you used as a student), graduation year and course, what you do now, contact details (email addresses and phone numbers), links you choose to share, the years you were active at the theatre, and anything you tell us about your time there and life since. We also keep a note of when your record changes, and of any contact between you and the committee, so we don't ask you the same thing twice.

Your record came either from you directly, through this site or the network's original signup form, or occasionally from a committee member adding someone the network was already in touch with.

Why we hold it, and your say in it

Everything rests on your consent, recorded separately for each purpose. You can grant or withdraw the optional ones at any time from your record.

• The alumni network may contact me Required

  Newsletters, invitations to events and reunions, and the occasional question about your time at the theatre. Required — we cannot hold your details otherwise.

• Committee members may contact me for support

  The students running the theatre can get in touch for advice and a hand with running the place.

• Students may contact me about careers

  Questions about work experience and routes into the industry you work in.

• Other alumni may get in touch with me

  Alumni can find you in the network and send you a first message through us. Your email address stays hidden unless you reply.

Who can see it

A small number of committee volunteers, each with only the access their role needs. Full contact details are visible only to the managers who run the network; everyone else sees them masked. Other alumni never see your contact details: if you've allowed alumni to get in touch, their first message is passed on through us and your address stays hidden unless you reply.

Where it lives

The network runs on Cloudflare's platform under its standard data processing terms, with our database stored in the European Union. There are no analytics trackers and no advertising, and the only cookie is the one that keeps you signed in.

How long we keep it

For as long as you want to be part of the network. Ask us to delete your record, either from your record or by email, and it is permanently removed after a 14-day grace period, during which you can change your mind.

If email to your address bounces or is reported as spam, we note the address as undeliverable so we do not keep trying to reach it. We hold such an address for up to twelve months after it is no longer on any record.

Your rights

Sign in at any time to see and correct everything we hold on you, change your consents, or request deletion. If you'd rather not use the site, or want a copy of your data or anything else the site doesn't offer, email us and a manager will sort it out. You also have the right to complain to the Information Commissioner's Office, though we'd love the chance to put things right first.
